In hosting an event, organisers should ensure that the following are given proper consideration:

  1. Set the date, time and location of the event
  2. Establish a planning committee for the event and sub-committees
  3. Develop a budget for the hosting of the event
  4. Develop a programme for the event
  5. The set-up of the room consider whether or not there will be a head table
  6. The placement of the flag or flags
  7. Heads of States and Governments, Ministers and other Dignitaries visiting the Federation to attend International/Multilateral Conferences are usually met and seen off at the airport by Protocol officers.
  8. Courtesy calls on the Governor General of the Federation, the Prime Minister, and any other Minister of Government and /or Dignitaries may be arranged at the request of the visiting head of State/Government through the Protocol Officer.
  9. Properly addressing written correspondence, including invitations
  10. The list of officials/persons who have confirmed their attendance at the event
  11. The rank or status of the official
  12. Creating the Order of Precedence and Seating Plan for the event
  13. Salutation or oral recognition of the official during the event i.e. correct pronunciation of names and calling of titles
  14. Monitor the time and timing of the event
  15. Ensure the smooth Flow of the event
  16. The use of Protocol Officers
  17. Greeting VIPs on arrival and escorting on departure

Toasts for the Governor General are proposed during the course of the celebration in the following order:

  • The Governor General toasts the Head of State of the country celebrating the National Day. The National Anthem of the Country celebrating the National/Independence Day is played
  • The Prime Minister/ The Head of Mission/Permanent Secretary toasts the Governor General of the Federation of Saint Kitts and Nevis

Toasts for the Prime Minister are proposed during the course of the celebration in the following order:

  • The Prime Minister toasts the head of State/Government of the country celebrating the National day. The National Anthem of the country celebrating the National Day is played.
  • The Head of Mission toasts the Prime Minister of the Federation of Saint Kitts and Nevis. The National Anthem of Saint Kitts and Nevis is played
